How to Prepare Company Laptops Before Recycling or Resale

How to Prepare Company Laptops Before Recycling or Resale

Most of the value lost on retired laptops is lost before they leave the building. A laptop still locked to your organisation cannot be set up by anyone else, so it sells for parts. Ten minutes of preparation per device often decides whether it is worth thousands of rupees or a few hundred.

Decide what each laptop is for

Sort the list into three groups: laptops to resell, laptops to recycle and laptops whose drives your policy says must be destroyed. Resale laptops need their locks released and their drives erased with verification. Recycle-only laptops still need data destroyed. Destroy-only drives can be removed first or destroyed onsite.

Release every lock

  • Windows Autopilot. Delete the device from the Autopilot devices list in Intune. If you skip this, the laptop will try to enrol into your tenant when the next owner sets it up.
  • Intune or other MDM. Retire or delete the device record once the user is offboarded.
  • Apple Business Manager. Release the Mac from your organisation, and unenrol it from your MDM.
  • Activation Lock. On Macs, sign out of the Apple Account and turn off Find My.
  • BIOS and firmware passwords. Remove Dell admin, HP BIOS administrator and Lenovo supervisor passwords. A forgotten Lenovo supervisor password cannot be reset without replacing the system board.
  • Persistence agents. If your fleet used Absolute or a similar tracking agent, release the devices in its console.

Encryption and recovery keys

BitLocker and FileVault can stay on. Encrypted drives are safer in transit. Do not hand recovery keys to the vendor. Keep your escrowed keys until you have the Certificate of Destruction, then remove them under your own retention policy.

Physical preparation

  • Remove SIM cards from LTE laptops, smart cards and USB dongles.
  • Leave asset tags on. They make reconciliation easier.
  • Pack chargers with the laptops. They add value.
  • Separate swollen batteries. Do not charge them, and tell the vendor so they are transported safely.

Handover and close-out

  1. Export a list of serial numbers and models.
  2. At collection, check the vendor's serial list against yours and sign it.
  3. When the certificate arrives, match every serial on it to your list.
  4. Close the assets in your register and file the documents.

That last step is the one most teams skip, and the one auditors ask about.

Questions

Questions, answered.

Yes. A laptop still registered in Windows Autopilot will try to enrol into your organisation when the next owner sets it up, which makes it hard to resell.

Only if your policy requires it. Otherwise the vendor can erase with verification or destroy the drive and give you a certificate. Laptops sold with erased drives are worth more.

The laptop can still be recycled or sold for parts, but at a lower value. Tell the vendor at the quote stage.
