Server decommissioning is the planned removal of server, storage and networking hardware from a server room or data centre, including data destruction on every drive inside it. Server hardware holds far more data-bearing media than most inventories record. A single storage array can contain dozens of drives that never appear on an asset register.
Why server rooms are the highest-risk disposal you will do
A laptop holds one drive. A single mid-range storage array can hold twenty-four. A populated rack can hold well over a hundred data-bearing devices across servers, arrays and caching tiers — and in most organisations, not one of those individual drives appears on the fixed-asset register. The rack has an asset number. The drives inside it do not.
That is why server room clearances go wrong more often than laptop refreshes do. The count that matters is not the number of chassis removed; it is the number of drives that came out of them. If nobody counted the drives on the way out, nobody can prove where they went.
The second complication is that server rooms tend to be decommissioned under time pressure — a lease expiry, a cloud migration deadline, a landlord handover. Time pressure is exactly when equipment gets moved without documentation.
What a decommission actually involves
Scoping. A walkthrough of what is in the room: chassis, arrays, switches, UPS units, PDUs, KVMs, cabling and rack furniture. Photographs of the rack layout before anything moves.
Drive accounting. Data-bearing media identified and counted before removal, because reconstructing that count afterwards is not possible.
Safe de-racking and removal. Powered down, unracked and moved without damaging the building. UPS batteries and any lithium-based components are separated for correct handling — they are not general e-waste.
Certified destruction. Every drive wiped or physically destroyed at the processing facility, documented by method.
Value recovery. Recent server, storage and networking hardware often retains meaningful resale value, assessed after data destruction and offset against the cost of the exercise. See asset recovery.

Office IT decommissioning and reverse logistics
The same process applies when an office closes, a floor is consolidated, or a site is handed back to the landlord. In those projects, the IT is only part of it — there is usually structured cabling, network racks, access control hardware, IP telephony and AV to remove as well.
